To reserve an athletic field, a Permit is required.
To obtain a Permit, users can either apply to be included in one of the City's three seasonal field allocation processes, or apply mid-season, after allocations are complete, on a first come, first served basis. Below are instructions to apply to be included in allocations or mid-season.

Athletic Organization Field Needs Between March 2 through August 2, 2026
Step 1. Submit Athletic Organization Application
- Review the City's Athletic Field Use Policy(PDF, 160KB) and Athletic Field Guidelines(PDF, 1MB).
- Complete and submit an Athletic Organization Application form (Link can be found in Application Process and Required Documents section below).
- This application process is required to be completed annually for organizational use, and to be included in any seasonal allocation process listed below, or to apply for field use mid-season.
- Applications are accepted anytime, on a rolling basis, however, this process must be successfully completed well enough in advance to receive access to the Field Use Application Form necessary for Step 2.
- City staff will review and notify organizations application status within 10 business days of receipt. Depending on the level of application completeness, this process may take up to 30 calendar days.
- Upon approval, organizations will receive access to the Field Use Application Form (Step 2).
Step 2. Field Use Application Form
- Organizations will receive access to the Field Use Application once Step 1 is complete.
- Submit as filed rental needs arise and/or to be included in seasonal allocations by the deadline below.
- To be included in seasonal allocations, submittal deadlines are listed below.
- To apply between seasons, not as part of allocations, submittal deadline is 15 business days in advance.
- Group requests for the same program field size needs and timeframe into one application.
- Use separate applications for programs with different fields needs and timeframes.
- Organizations will be notified of assigned field use according to the timeline for each season's allocation process (see below), or for those who apply mid-season, after all allocations are complete or within 10 business days from receipt.
Step 3. New Athletic Organization Agreement
- Organizations sign an overarching Athletic Organization once per calendar year.
- It outlines athletic field use rules and regulations, and expectations and obligations of approved organizations.
- We are determining the timing of this step. It will either be immediately following Step 1 or be paired with Step 2. We will update this information once a decision is made.
Step 4. Payment
- For established organizations billing will occur once at the end of each season.
- Exceptions are new organizations, tournaments and clinics.
- The City accepts Visa, MasterCard, check or cash.
Second Season 2026 Field Needs: August 3 through November 1, 2026
Launching May 1, 2026, the City is excited to introduce a new online facility rental system and partnership with Facilitron! Effective May 1, requests for city-managed athletic fields for Second Season 2026 (for dates between August 3 and November 1, 2026) must be submitted through Facilitron.

Facilitron will manage the request, approval, and administrative processes. All City of Kirkland Parks & Community Services Department policies and guidelines will remain in place. Final facility use decisions will still be made by City staff. Facilitron will assist with organization and user account setup, verifying non-profit status (if applicable), collecting proof of insurance (certificate of insurance and additional insured endorsement), and, for Lakeview Elementary users, collecting proof of insurance on behalf of the Lake Washington School District. Facilitron will also collect payments.

Step 2. Apply for Field Requests through Facilitron by the Timeline Below.
- To Participate in Second Season Allocations: A NEW application and allocation process applies. Applicants must now submit requests by the appropriate Applicant Tier deadline listed below. If you're organization is uncertain what Tier applies to your organization, please email FieldRentals@kirklandwa.gov for assistance. For additional information about the City's allocation process and timeline for Second Season 2026 Allocations, see the "Athletic Field Allocation Process" section below.

- *Tier 3 & 4: Due June 6 to 8:00 A.M. June 15, 2026
*Caution: Tier 3 & 4 Applications received early will be deleted and require resubmittal.
Step 3: Provide Requirements and Payment to Facilitron
- During Allocations, select the “Pay by Mail” option provided by Facilitron to submit applications on time, however, do not mail payment until final field assignments are confirmed. Once assignments are finalized, payment can be made.
- Payments must be made by no later than 14 days prior to use, and can be made by major credit card, check, ACH/eCheck, or PayPal.
- Insurance requirements must be met by no later than 14 days prior to use.
- Failure to make full (or partial payment of the permit, where applicable) or meet insurance requirements on time will result in cancellation of the entire permit and denial of future use.

Mid-Season Athletic Field Use Application Form for First Season 2026
Organizations must first complete First Season 2026 Steps 1 and 2 described above. For organizations that have completed both steps, if any additional field needs mid-season, check availability first at FieldRentals@kirklandwa.gov or (425) 587-3330 and apply using the Mid-Season Athletic Field Use Application Form.
Mid-Season Athletic Field Use Requests for Second Season 2026
After allocations, Second Season 2026 field use requests for first-time users are accepted through Facilitron up to 21 days in advance, and existing users, up to 8 days in advance. Visit Facilitron HERE to create an account.
Social Use of Athletic Fields and Facilities
- For dates through August 2, 2026
Individuals, offices, schools, and groups who want to use an athletic field for a social need must complete a One-Time Social Use Field Use Application form (link below). This application is intended for one-time social events, such as a birthday party or company kickball game.
First, email FieldRentals@kirklandwa.gov or call (425) 587-3330 to check availability. Second, after availability is determined, complete and submit the Social Use Field Use Application (button below). Applications are due 30 days in advance for high-risk uses deemed (determined by by staff), by 15 days in advance for all others.
Staff will respond within 10 business days. Note for high-risk activities: insurance will be required.

Social users, considered Tier 4 priority during allocations, are welcome to apply to participate. See the Second Season 2026 Field Need timeline outlined above, visit Facilitron HERE to create an account, and apply between June 6 and 8:00 a.m. June 15th. Once allocations are complete, social users may apply mid-season at any time up to 15 days in advance. A link to Facilitron will be provided May 1, 2026.
